1. Who we are

2. What we collect and why

• Contact form. When you send the contact form, we receive your name, email address, phone number (optional) and message. We use them only to reply to your enquiry and follow it up. Legal basis: taking steps at your request before a possible contract, and our legitimate interest in answering enquiries (GDPR Art. 6(1)(b) and (f)).
• Emails and phone calls. If you contact us directly, we use your details in the same way.
• Website analytics, only with your consent. If you click “Accept” in the cookie banner, we use Google Analytics 4 to understand how the site is used: which pages are visited, how visitors found us, whether they get in touch (for example by sending the contact form or tapping our phone number or email address), their approximate location (country or city) and device type. Google Analytics 4 does not store IP addresses. Legal basis: your consent (GDPR Art. 6(1)(a)). If you click “Reject”, Google Analytics is not loaded at all.
• Server logs. Like every website, our hosting provider automatically records technical data (IP address, browser type, pages requested and time) to keep the site secure and working. Legal basis: our legitimate interest (GDPR Art. 6(1)(f)).
• Map. The contact page shows an embedded Google map. To display it, Google receives your IP address and browser details. Legal basis: our legitimate interest in showing where we are (GDPR Art. 6(1)(f)).

3. Cookies and similar technologies

• kappae-analytics-consent (your browser’s local storage): remembers your choice in the cookie banner. It stays until you clear your browser data. Strictly necessary.
• _ga and _ga_262Q009LQ5 (Google Analytics): tell visitors and visits apart. They are set only after you click “Accept” and expire after 2 years.
• The embedded Google map on the contact page may set Google’s own cookies.

You can change your choice at any time with “Cookie settings” at the bottom of every page.

4. Who receives your data

We do not sell personal data or use it for advertising. We share it only with service providers that process it on our behalf:

• Formspree (Formspree, Inc., USA) delivers contact-form messages to our inbox. Transfers to the USA are protected by the European Commission’s Standard Contractual Clauses.
• Google (Google Ireland Ltd and Google LLC) provides Google Analytics (only with your consent) and Google Maps. Google LLC is certified under the EU–US Data Privacy Framework.
• Our website and email hosting providers.

We may also disclose data where the law requires it.

5. How long we keep data

• Enquiries: as long as needed to answer and follow up your enquiry. If you become a customer, for as long as our business relationship lasts and as Cyprus tax and accounting law requires.
• Google Analytics data: up to 14 months, then deleted automatically.
• Server logs: kept by our hosting provider for a limited period, for security.

6. Your rights

Under the GDPR you can ask us to access, correct or delete your data, restrict its processing or receive it in a portable format, and you can object to processing based on our legitimate interest. You can withdraw your consent to analytics at any time via “Cookie settings”. Email us at info@kappaesoftware.com; we reply within one month.
